The Tenant Coordinator serves as the primary liaison between Construction, Leasing, Property Management, and Development, guiding tenants from pre-lease signing through store opening. This role ensures seamless communication, monitors tenant construction progress, and facilitates lease compliance to support a successful and timely store launch.
Essential Duties:
- Share final construction plans with tenants before or shortly after project handoff to Construction.
- Track and review tenant plans, ensuring a smooth transition from Development to Construction.
- Monitor and review tenant permit approvals.
- Oversee tenant signage approval, ensuring compliance with city requirements.
- Prepare and track Notice of Delivery letters, aligning key dates with the Construction schedule.
- Provide tenant construction rules and regulations if not included in the lease.
- Ensure tenant GC compliance with COI requirements.
- Coordinate tenant turnover upon the landlord’s C of C, facilitating pre-construction meetings.
- Collect and verify tenant COIs in coordination with the Property Manager.
- Prepare tenant turnover letters, coordinating with the Property Manager.
- Oversee tenant construction progress, conducting regular site visits and ensuring compliance until the tenant’s C of O is obtained.
- Process Tenant Improvement Allowance (TIA) package requests.
- Track change orders (COs) affecting TIA, collaborating with the Property Manager to update Yardi and internal records.
Marginal Duties:
- Assist with asset stabilization post-delivery.
- Manage Tenant emergency response and warranty issues.
Qualifications:
- Strong understanding of commercial retail properties and retail leasing processes, including lease interpretation.
- Knowledge of commercial and retail construction, including site plans, architectural drawings, building codes, and contracts.
- Experience managing commercial construction projects; general contracting experience is a plus.
- Exceptional organizational skills to manage multiple projects and meet deadlines.
- Excellent communication skills for clear and accurate information exchange.
- Proficiency in Google Sheets, Google Docs, Microsoft Word, and Excel (required); Yardi experience preferred.
- Strong attention to detail.

Required Education, Experience, Licenses
- High school diploma or equivalent required
- Four-year college degree preferred
- 3+ years commercial real estate experience required
- Proficiency with Microsoft Office, including Word and Excel, as well as Google Suite, calendar management, and general technology is required
- Experience with Mac iOS is a plus
- Valid Driver’s License
